Supplier setup
Only approved vendors get paid.
When a bill arrives from a vendor that is unknown, or not approved for the bill's category, Cortex sends a secure link. The supplier provides what that category requires, and the bill moves on the moment the vendor is approved.

What gets checked
Supplier onboarding, check by check.
| Required | How it is checked | Set by |
|---|---|---|
| Legal name and address | Against the tax ID | Your category rules |
| W-9 | Signed and on file | Your category rules |
| Bank account | A call-back to a number already on file | Always |
| Insurance and certificates | Expiry dates tracked | Your category rules |
| Payment terms | Agreed and recorded | Your category rules |
On its own, and what waits
Runs through within its level. Conflicts wait for a person.
An agent with a level acts on its own within that level’s dollar limit; without one, every step waits. Anything that conflicts or falls outside a guardrail always waits, and each decision teaches the next run.
What it does
Sends the secure link. Reads what the supplier uploads. Asks again for what is missing.
What it holds
Every new vendor's approval. Every bank change.
Your tolerances, sites, units and rules are your own: set for your contracts, not fitted to a template.
FAQ
Questions buyers ask about supplier onboarding.
Do suppliers need a login?
No. Each gets a link and a one-time code to a secure room that asks only for what their category requires.
